Privacy Policy

DRAFT — This privacy policy is a working draft prepared for review by qualified legal counsel. It has not yet been formally adopted and may change.

Last updated: November 2025

The Canadian Hearth Society ("we", "us") respects your privacy. This policy explains what personal information we collect through canadianhearth.com, why we collect it, and the choices you have.

What we collect

We collect personal information only when you choose to give it to us through our interest form:

  • Your name and email address
  • Your province or territory, and optionally your municipality
  • The type of involvement you're interested in
  • Any message you choose to include
  • Whether you opted in to email updates, and the date and time of your submission (your consent record)

We deliberately do not ask for political affiliation, financial information, or any other sensitive personal information, and we ask you not to include such information in your message.

What we don't do

  • We do not use advertising or tracking cookies.
  • We do not use third-party analytics that profile you.
  • We do not sell, rent, or trade your personal information — ever.
  • We do not share your information with third parties, except service providers strictly necessary to operate the website and email (such as our web host), or where required by law.

How we use your information

  • To respond to your enquiry or expression of interest
  • To contact you about founding discussions or local organizing if you asked us to
  • To send occasional email updates only if you separately opted in

Technical information

Like most websites, our web server may automatically log IP addresses and basic request information for security purposes (for example, to limit spam submissions). Form-related IP data is stored only in hashed form and used solely for rate limiting.

Where your information is stored

Submissions are delivered to our administrative email (admin@canadianhearth.com) and may be retained in a secure record on our web server as a record of your consent.

Your rights and choices

  • Unsubscribe: every email update includes an unsubscribe link, or you may use our unsubscribe page at any time.
  • Access and correction: you may ask what information we hold about you and request corrections.
  • Deletion: you may ask us to delete your information at any time.

To exercise any of these rights, email admin@canadianhearth.com.

Retention

We keep expressions of interest only as long as needed for the Society's founding process, or until you ask us to delete them.

Children

This website is not directed at children under 16, and we do not knowingly collect their personal information.

Changes to this policy

We will post any changes on this page with an updated date. Significant changes will be noted prominently.
